The incumbent Medical Support Assistant reports to the Health Administration Service at the Loma Linda VA Medical Center. Work involves administrative judgment and the flexible use of a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or care in the community resources. The vacancy may be filled within: Main Facility, Ambulatory Care Center, or Community Based Outpatient Clinic's. This announcement may be used to fill future vacancies.

  • Major duties include, but are not limited: Maintains effective and efficient communication with the patient and the provider. Assist non-VA medical facilities by fax; facilitate/process secure messaging with the patient and team; and develops and manages a tracking system for follow up care such as consults. Manages appointments scheduling including Recall, RTC's, Consults, Imaging, VeText, Audio Care, etc. Posses knowledge of computerized data entry and information processing systems including CPRS, ISS, VSSC, VAOS, My HealtheVet, ICB, VET link, Kiosk, and Vista. Sets priorities/deadlines, participates in providing input, and utilizes problem solving on operational issues or procedures in team meetings. Performs administrative follow up actions. Evaluates patient information and clinic schedule lists to determine whether a patient is vested. Educates providers about shared patients who may be receiving care at multiple VAs or in the community, the medical facility's organization and services, rules and regulations governing eligibility and treatment. Demonstrates practical knowledge of the standard procedures, medical records, medical terminology, security of sensitive electronic files, process improvement, and customer service. Develops and maintains effective and efficient communication with the patient, interdisciplinary team, VA medical centers, and other agencies. Attains knowledge of eligibility for VA medical care, priorities for care, release of information, Health Information Portability and Accountability Act (HIPAA) Laws, and the Care in the Community (CltC) programs. Assists patients by providing a smooth process for the management of his/her outpatient appointments as well as support work in connection with the care and treatment given to Veterans. Reports backlogs, difficulties' in meeting deadlines, uncooperative physicians, or difficulty in securing information from clinicians or the record. Communicates with physicians, case managers, and other allied health professional staff using sound interpersonal skills and is constantly aware of the sensitive information.
