The incumbent serves at the Secretary for the Office of the Associate Director for Patient Care Services/Nurse Executive, providing comprehensive and executive level administrative, clerical, and technical support to the ADPCS/NE, Deputy ADPCS/NE, and Administrative Officer.
- Major Duties: Screens and processes all incoming and outgoing correspondence for accuracy, completeness, formatting, and compliance. Finalizes executive-level documents for ADPCS/NE, Deputy, and AO signature, ensuring tone, clarity, grammar, and accuracy. Constructs and maintains dashboards; consolidates report data from multiple services. Monitors suspense dates for reports and assignments; follows up until completed. Manages Medical Center Policy (MCP) and SOP lifecycle, including routing, review coordination, Union concurrence, signatures, and SharePoint posting. Prepares administrative documents such as ROCs, policy memos, position descriptions, performance standards, procurement requests, agendas, minutes, and briefing materials. Drafts routine administrative correspondence, including Delegations of Authority and compliance memos. Transcribes dictated, handwritten, or recorded material into final form. Compiles data, retrieves historical files, and prepares materials for special projects. Maintains master calendars for ADPCS/NE, Deputy, and AO; schedules/reschedules meetings and prepares required materials. Coordinates committee activities, prepares agendas, records minutes, maintains member lists, and uploads documents to SharePoint. Schedules and coordinates meeting logistics including space, audiovisual needs, attendance, and pending files. Screens calls and visitors; determines urgency, resolves routine issues, provides guidance, or escalates appropriately. Provides staff guidance on administrative procedures, policy locations, formatting standards, and timekeeping rules. Serves as primary timekeeper for multiple T&Ls, processing tours, leave audits, VATAS actions, and resolving discrepancies. Maintains, organizes, and disposes records as Records Liaison Officer; retrieves information accurately and securely. Other duties as assigned.
