The position serves as the Clinical Administrative Specialist for Department of Veterans Affairs (VA), Veterans Health Administration (VHA), Mid-Atlantic Care Network (VISN 6), Durham VA Medical Center (VAMC), under Surgical Care Services in Durham, North Carolina.

  • Duties include, but are not limited to: Coordinates with Medical Cost Accounting (MCA) and Veterans Equitable Resource Allocation (VERA) staff to determine if clinic services are billable and verify with Health Information Management Section (HIMS) that the appropriate ICD-10 and Current Procedural Terminology (CPT) codes are entered on the electronic encounter form setup. Responsible for the operational support and efficiency of clinical operations in the Surgical Service Line in conjunction with the Administrative Officer. Develops and coordinates internal review systems to ensure that both clinical and administrative activities are in compliance with agency, accrediting and regulatory requirements. Assists the Administrative Officer with developing and evaluating programs assigned to Surgical Care and providing staff services to management officials which result in effective planning, organizing, directing, coordinating and controlling clinical operations. Serves as a liaison between clinical providers and Administrative Officer. Briefs the AO on resources needs, including personnel, budget, equipment, supplies, information technology, environment of care and space needs. Collects statistical data for workload, productivity, compliance, and efficiency data and any assigned performance measures under Surgical Care leadership direction. Prepares recommendations and solutions based on data. Utilizes a variety of VA database systems including but not limited to VHA Support Service Center (VSSC), Business Intelligence Services Line (BISL), Pyramid Analytics, VISTA, Corporate Data Warehouse (CDW). Maintains detailed reports related to clinical and provider level performance, productivity measures, progress trends, patient access, and employee/customer satisfaction. Establishes protocols for incoming data and organizes incoming data from a variety of sources. Serves as an approving official for timecards for Surgical Care, ensuring that timecards are accurately posted by timekeepers and in compliance with all timekeeping regulations. Managing and addressing PATSR inquiries and entries, ensuring timely follow up. Coordinates with Medical Cost Accounting (MCA) and Veterans Equitable Resource Allocation (VERA) staff to determine if clinic services are billable and verify with Health Information Management Section (HIMS) that the appropriate ICD-10 and Current Procedural Terminology (CPT) codes are entered on the electronic encounter form setup.
