Serve as a key point of contact for the Hunter Education Program, building strong relationships with the public, volunteer instructors, students, families, and partner agencies while supporting the department’s mission to conserve and protect Washington’s fish, wildlife, and ecosystems.
In this role, you will provide essential customer service and administrative support to ensure program day-to-day operations are efficient and identify opportunities to improve processes and services.
What to Expect:
Among the varied range of responsibilities held within this role, the Hunter Education Administrative Assistant will,
Provide lead administrative support services related to the hunter education program:
- Provide hunter education information, services, and products to the public, certified hunter education instructors, instructor applicants, hunter education programs in other states, and agency staff.
- Serve as the agency lead and contractor liaison for data and records management.
- Conduct background checks on certified instructors and instructor applicants and serve as the primary contact for the contractor, and track instructor requirements.
- Manage manual and electronic records to ensure conformance with legal requirements and state and agency standards.
- Manage a contract with Washington State Archery Association (WSAA) to implement the National Archery in the Schools Program.
- Make travel arrangements for hunter education staff.
- Prepare and process invoices for payment, order staff and instructor supplies and equipment, and exercise delegated signature authority for contract and invoice payments.
Provide accurate and timely outreach, education, and communication for the Hunter Education program:
- Directly interface with hunter education instructors via phone or email to answer questions and provide support services to maximize program effectiveness.
- Function as member of the hunter education team, attending all staff meetings and conference calls and contributing to the management of the section.
- Coordinate directly with office managers and customer support staff in other programs and the 6 WDFW administrative regions regarding public services associated with hunter education.
Serve as administrative contact for 3rd party hunter education course provider:
- Manage daily contractor data downloads.
- Generate reports on student and instructor participation to distribute to statewide coordinators and management.
- Ensure consistency between contactor data and hunter education databases.
- Identifying and coordinating needed corrective measures with the contactor.
- Develop and provide updates to training materials for staff and instructors on how to use contractor services and tools, suggesting updates and improvements.
Serve as the lead to manage and coordinate the tri-annual statewide instructor in-service training, and provide supporting assistance to other instructor trainings:
- Prepare a detailed work plan with sequences, timelines and tasks.
- Research costs and secure conference center space, equipment, meals, and refreshments, facilitate conference center contract, etc.
- Prepare handout materials/folders, awards, recognition items, name tags, etc.
- Serve as the lead agency contact for the venue and coordinate with staff to ensure facilities are set up and supplied appropriately for plenary and concurrent sessions.
Working Conditions:
Work setting, including hazards: In-office setting at the Natural Resources Building in Olympia, Washington with possible partial hybrid options available. Office hazards include working under fluorescent light, repetitively entering data into computer and extended periods of time, sitting or standing.
Schedule: Typically Monday – Friday 8:00 A.M. – 5:00 P.M. While this position offers a hybrid work arrangement, the successful candidate must be available to report to the Olympia, WA headquarters as needed.
Travel Requirements: Occasional travel with possible overnight stays to attend in-person hunter education team and program staff meetings, workshops, etc.
Customer Interactions: Interacts with external customers (e.g. public, counterparts in state) and internal customers (e.g. volunteer certified instructors).
Qualifications:
Required Qualifications:
Option 1: High school diploma or equivalent and four (4) years of progressively responsible experience in office/clerical, secretarial, or general administrative work
Option 2: Experience as an Administrative Assistant 3 or higher for a Washington State Natural Resource agency.
Certifications/Licenses:
Valid Driver’s License.
Preferred Qualifications:
In addition to the required qualifications, our ideal applicant will possess one or more of the following:
Associate’s degree or higher in business administration or related field.
Familiarity or experience with hunter education program activities, including the importance and value of volunteer instructors.
Moderate or higher proficiency with Microsoft Suite products (Outlook, Word, Excel, PowerPoint, Access, and Teams)
Experience:
- Experience and knowledge of hunting practices and regulations
- Two (2) or more years of experience utilizing databases and spreadsheets in an office environment.
- One (1) or more years of professional experience in providing customer service to constituents in a courteous and professional manner.
Ability to:
- Articulate, utilize, and assist customers with understanding laws, regulations, policies, and processes, especially those related to WDFW hunter education, hunting and fishing regulations, and to direct public inquiries to appropriate staff for assistance.
- Utilize the Washington Interactive Licensing Database (WILD) Automated System to complete tasks.
