Legal Secretary - Medical Malpractice

- Provide support to attorneys, including managing calendars, scheduling appointments, and coordinating meetings.
- Prepare and file legal documents, ensuring compliance with court rules and deadlines.
- Manage case files through document management system (iManage), maintaining organization and accuracy.
- Assist with document review, proofreading, and legal drafting to ensure high-quality submissions.
- Facilitate communication with clients, expert witnesses, and other parties involved in litigation while maintaining professional phone etiquette.
- Support project management efforts for ongoing cases, including tracking deadlines and deliverables.
- Coordinate and schedule depositions, hearings, and meetings
- Conduct legal research and gather relevant case information
- Coordinate and schedule meetings, conferences, and travel arrangements
- Maintain and organize client files and records
- Communicate with clients, opposing counsel, court personnel, and accounting in a professional manner
- Open new files and run conflicts
- Updating docket sheet or information sheet on the file
- Perform general clerical duties such as filing, scanning, and data entry
- Provide administrative support to attorneys and staff as needed
- Strong organizational skills with the ability to manage multiple priorities effectively.
- Excellent writing skills for drafting correspondence and legal documents.
- Proficient in legal case management software such as iManage or similar.
- Experience with document review processes and familiarity with clerical tasks such as filing and transcription.
- Solid research skills to assist attorneys in preparing cases effectively.
- At least 2 years experience as a Legal Secretary/Assistant working on insurance defense cases. Medical Malpractice experience is not required and we are willing to train in this area.
- Excellent organizational skills and attention to detail
- Strong communication and interpersonal skills
- Proficient with Microsoft Office Suite and legal software (will train on our specific tools)
- Knowledge of e-filing in state and federal courts
- Previous experience working as a legal secretary on the litigation defense side is highly preferred
- Knowledge of court rules and procedures
- Ability to maintain confidentiality and handle sensitive information
