Position Overview: 


​​Every great office runs on someone who makes it just work — and that's you. As our Office Administrator, you're the go-to person who keeps API's global corporate headquarters stocked, organized, welcoming, and ready for whatever the day brings. One minute you're greeting a client walking in for a meeting, the next you're troubleshooting a vendor issue, planning the next team celebration, or providing backup coverage to the Executive Admin to the CEO. Success in this Role 

  • ​​Vendors and office systems run so smoothly that "office issues" simply aren't a topic anyone worries about.  
  • ​Breakrooms are always stocked before someone notices they're not.  
  • ​Clients and visitors comment on how welcoming and seamless their visit felt — from check-in to conference room to send-off.  
  • ​Mail, communications, and inquiries get where they need to go — quickly and accurately.  
  • ​The Employee Engagement Committee has a reliable partner who helps events come together without a hitch.  
  • ​The annual Client Event runs like clockwork, thanks to your vendor and logistics coordination.  
  • ​The Executive Admin to the CEO can step away confidently, knowing you've got things covered.  
  • ​Leadership starts handing you special projects — because you've earned a reputation as someone who gets things done. 

 

What You’ll Do 

Essential Functions: (Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.) 

  • ​​Manage all office maintenance and vendors.  
  • ​Manage all office supplies and restock of breakrooms. 
  • ​Coordinate all office visits from Client and Vendor meetings to conference room management. 
  • ​Support employee company travel needs, as required. 
  • ​Answer company information communications and directs emails accordingly. 
  • ​Perform general office duties and clerical support.  
  • ​Distribute mail daily. 
  • ​Support the Employee Engagement Committee with coordinating and executing company events. 
  • ​Support the annual API Client Event through vendor management, logistics, communications, and content, as needed. 
  • ​Provide backup support to the Executive Admin to the CEO. 
  • ​Special projects, as assigned.

What You’ll Bring 

​​Minimum Qualifications  

  • ​​1-2 years supporting an office environment. 
  • ​Knowledge of administrative management and office procedures and systems. 
  • ​Prior experience supporting senior management in an administrative function.  
  • ​Exceptional verbal and written communication skills. 
  • ​Detail-oriented with great organizational skills. 
  • ​Active listening and critical thinking skills. Problem solver and resourcefulness.  
  • ​Proactive, can-do attitude.  
  • ​Service oriented and social perceptiveness.  
  • ​Highly ethical, accountable, and always operates with discretion and confidentiality. 
  • ​Exemplary planning and time management skills. 
  • ​Able to multi-task, prioritize, and work well under strict deadlines in a fast-paced environment. 
  • ​Strong computer and technical skills in Microsoft Word, Excel & PowerPoint, Outlook, Teams 
  • ​An organized self-starter who can work proactively and independently.​ 

 

 Position Type and Expected Hours of Work 

​​9-5 Monday through Friday onsite with OT as required

Compensation 

The position pays $25/hour USD. 


Other Duties

Duties, responsibilities and activities may change at any time according to business needs.

The performance of additional responsibilities if you are designated as a Data Protection Champion (DPC), Senior Information Risk Owner (SIRO) or Information Assurance Accounting Officer (IAAO).

Work Environment

This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
