The Loudoun County Health Department is seeking a skilled, independent, and highly motivated individual to join our operations team as an Administrative Assistant. This is a full-time role with core work hours of Monday–Friday, 8:30 a.m. to 5:00 p.m.

As an Administrative Assistant, you’ll play a key role in protecting and improving the health of Loudoun County residents. This is a meaningful opportunity to make a direct and lasting impact in our community.

Key responsibilities include, but are not limited to:
  • Register and assist patients, collect and update demographic information, and support income eligibility and insurance-related processes.
  • Schedule and confirm patient appointments, follow-ups, and procedures.
  • Process patient checkouts, payments, billing, insurance verification, and daily reconciliations of billing, collections, and deposits.
  • Maintain accurate patient records and office files while protecting confidential information in accordance with HIPAA and applicable privacy requirements.
  • Provide courteous, responsive customer service to patients, County staff, vendors, visitors, and the public.
  • Answer, screen, and route telephone calls and assist with resolving customer questions and concerns, including complex or difficult situations.
  • Use electronic health record systems, automated systems, and other software to support efficient service delivery.
  • Collaborate with administrative and healthcare staff and provide administrative support for community initiatives and events.
  • Order and maintain office supplies and ensure the appropriate use of County equipment and resources.
  • May provide limited task direction to volunteers, interns, temporary staff, or other assigned personnel; performs other duties as assigned.
Hiring salary is commensurate with experienceHigh School diploma or equivalent; three (3) years of related clerical/administrative work experience with computer automated systems and office applications experience; or equivalent combination of education and experience.

Preferred Qualifications:
  • Associate’s degree or higher in a related field.
  • Three (3) years of clerical/administrative work experience in a healthcare setting, with additional responsibility or expertise in medical billing and coding, data entry, cash handling, insurance verification, and customer service.
  • Knowledge of healthcare systems and medical terminologies. Understanding of public health, compliance, and patient privacy regulations.
  • English and Spanish language fluency.
  • Medical reception experience.
  • Experience working with electronic health records.
  • Successful candidates will undergo background checks as required
  • Valid driver's license and good driving record (driving records may be reviewed annually for continued qualification).
  • Complete FEMA ICS Certifications 100 and 700 within six (6) months of hire.
